Coaching Conflicts
Tournament/Scheduling
Want to know if there are coaching conflicts for your tournament or league? Make sure you have it turned on! In the season structure wizard there is a box called, "Audit Coach Conflicts," make sure it is set to YES. Then go to your scheduling administration page and you will see a link called "Audit Coach Conflicts." Enter the information on the coach or team who may have a conflict and let the system find the conflicting games for you.
Are your organization members receiving your email messages?
E-Mail
In today's world of spammers and unsolicited email, it is difficult to cut through the hundreds of messages we receive to identify the good from the bad. Most email applications (e.g., Outlook, Eudora, Hotmail, etc.) have built in functionality to assist us with this daunting task. These anti-spam tools can sometimes block messages which should have been delivered.
The following tips may help you in delivery of your organization's important messages:
- Encourage your membership to add the email address from which you send messages to their "Safe List". This is also know as "Safe Sender List", "Whitelist" or "Approved List".
- For communication to registered members of your organization, remind them they are receiving your messages as a registered member or user.
- Be careful not to send truely unsolicited messages with advertising. Email service providers have made it very easy for users to click the "Report as Spam" button. Being reported can hurt your ability to send future messages.
To assist with this, Demosphere will be implementing new functionality for all of our products that have email broadcast capabilities. We are also working with many of the industry's major Internet Services Providers to take extra steps to make sure your messages are delivered.
Making Tournament/League Schedule Public
Tournament/Scheduling
Have you posted your schedule and it is not appearing on your public site? Make sure the date is set correctly in the Season Structure Wizard. Within the ’Season Structure Wizard’ is a box called ’Schedules Public.’ This date must be set for a current or past date. If you change it to a past date after the schedule has been posted, make sure you republish your schedules. You can republish the schedules by vising the ’Scheduling Admin’ page and clicking that link.
Increasing Online Registration for Your Club
Online Registration
Wondering how to increase online registration for your club? Over the years, Demosphere has heard from many of our clients that they have tried to increase their online registration participation, but were unsure what steps to take. We have a top ten list of ways to increase online registration.
- Make sure you are utilizing the easy to use online registration system that Demosphere offers.
- If you have an in-person registration date, try to have computers setup so that those who come can still do it themselves. They will leave thinking, “I could have done this at home!” They will next time.
- Make sure your website address and the fact that you offer online registration is stated clearly on your paper registration forms.
- If registrants explain that they do not have a computer, suggest that they can register at their local library.
- Offer discounts for registering online for a season or two to get people motivated to try it the first time.
- Impose additional fees for using paper forms under the premise that additional volunteer hours are needed for processing.
- Make sure the link to online registration is in multiple places on your website making it easy accessible while making the paper form difficult to find.
- Just tell registrants that online registration is the preferred method of registration to help save the club time and money.
- Don’t mail paper registration forms to families. Rather, send e-mails and postcards directing people to your website for registration.
- Mandate online registration. Yes, some of our clients do this.
Newer clubs that are moving away from a totally manual way of doing registration will naturally have lower percentages of online registrations in the beginning, but, there is no reason that any club can’t increase the usage of their online registration system.
Why online registration is important your club? Processing paper forms or having walk-in registration is time consuming and can lead to data that isn’t accurate. Not only that, but, parents are more likely to donate money to your club. This is additional money in your club’s pocket. Parents may feel guilty that they cannot volunteer for their child’s team, so they donate money to help the club out.
Copy and Paste from Microsoft Word
WebWriter
Want to copy and paste directly from Microsoft Word? Think again! You can copy text from Word, but make sure to use the ’Paste from Word’ icon when pasting into a new article (or editing an old article). If you paste it directly into the Main Text Box, extra HTML will be entered causing your article to not format correctly. The ’Paste from Word’ icon removes the extra HTML and keeps your story together.

New Online Registration Feature!
Online Registration
For registration clients, a new feature enhancement is being released this month. You will find it in the standard Season Setup link within Registration Setup, and it states, "Click here to control the season for each program separately."
This new feature allows greater flexibility in managing the season for a given program. In the past, all programs were offered under a single "current" season, but now the current season can be overridden for a certain program to accommodate special situations.
Once you are in the new feature, please click on the help link to read a complete description of the intended use of this feature and possible pitfalls.
